PRIVACY POLICY
My Instant Replay • Rookie 2 Recruit
Effective Date: May 5, 2026
1. Introduction & Scope
Rookie 2 Recruit, LLC ("Company," "we," "our," or "us") is the parent company of two complementary digital platforms:
• My Instant Replay — a subscription-based youth athletic memory and milestone platform where parents and guardians preserve and share their child's athletic journey from their earliest games onward.
• Rookie 2 Recruit — a subscription-based college recruiting education platform empowering student-athletes and their families to navigate the college recruiting process with confidence.
This Privacy Policy governs the collection, use, disclosure, and safeguarding of personal information across both platforms and all associated services, including our Combine events. It applies to all access through our websites, mobile applications, or in-person events.
This policy does not govern third-party websites accessible through links on our platforms. We are not responsible for the privacy practices of those sites.
This Privacy Policy is incorporated into and forms part of our Terms of Service. By using our platforms, you agree to the practices described herein. If you do not agree, please discontinue use of the Services.
2. Age Requirements & Children's Privacy
Minimum Age: You must be 18 or older to create an account. You must be at least 13 to use either platform. Children under 13 are strictly prohibited from accessing our Services. Full eligibility rules, parental authorization requirements, and enforcement are set forth in our Terms of Service.
2A. Account Creation — Age & Data
We collect personal information through account registration only from individuals who are 18 years of age or older. All information collected at registration is governed by this Privacy Policy. For account eligibility rules and enforcement, see Section 2 of our Terms of Service.
2B. Content About Children Under 13 on My Instant Replay
While children under 13 may not hold accounts or use our platforms, My Instant Replay is specifically designed for parents and guardians to document their child athlete's journey — beginning as early as their very first game. As a result, our platform will contain images, videos, athletic statistics, and milestone data and other information relating to children under the age of 13, uploaded and managed by their parents or guardians.
Important: The parent or guardian account holder is the sole account holder and is fully responsible for all content uploaded, including images and data relating to their child. The child is not a user of the platform.
Because we collect and store personal information about children under 13 — even though those children are not our users — we comply with the Children's Online Privacy Protection Act (COPPA). Specifically:
• The parent or guardian account holder's creation and use of the account constitutes consent for all information collected about their child through the platform.
• We do not use images, videos, or any personal data relating to children under 13 for advertising, marketing, or any commercial purpose.
• Media content depicting children under 13 is stored securely and accessible only to the account holder, explicitly authorized Family Profile viewers, and — if the account holder has enabled Team/Organization Sharing — parents and guardians who have been verified by the Team/Organization Administrator within the same registered team/organization group.
• We do not share personal data about children under 13 with any third party except as required to operate the platform or as required by law.
Parents and guardians retain the right to review, correct, or request deletion of all content and data relating to their child stored on My Instant Replay. To exercise these rights, contact support@rookie2recruit.com. We will respond within 5 (five) business days.
Team/Organization-Based Media Sharing
My Instant Replay offers an optional Team/Organization Sharing feature that allows parents and guardians of registered account holders within the same team/organization (for example, an organization register as "Hershey" or team registered as the "Cardinals") to collectively upload and view photos and videos within that team's/organization's shared space. This feature is designed solely to help athletic families on the same team/organization preserve and celebrate their shared athletic experiences. The following terms govern how we handle data within this feature:
Scope of Sharing: Content uploaded to a team's/organization's shared space is visible only to parents and guardians who have been verified by the Team/Organization Administrator as legitimate members of that team/organization group. Where a team (e.g., "Cardinals") operates under a parent organization (e.g., "Hershey Youth Baseball"), consent provided at the organization level extends to and covers all teams within that organization, provided that members across all teams have been verified by the applicable Team/Organization Administrator. All Administrator-verified members across all teams within the same registered organization are treated as part of the same shared group for consent and visibility purposes. Team/organization-shared content is never publicly accessible and is never visible to any person outside the registered team/organization group.
Uploading Parent or Guardian Responsibility: Account holders who upload content to a team's/organization's shared space represent and warrant that they have obtained all appropriate consents from the parents or guardians of any other child depicted in that content prior to uploading. The Company does not independently verify the identity, parentage, or guardianship status of any team/organization member. Member verification is performed exclusively by the Team/Organization Administrator, as described in Section 2D of this Privacy Policy. Sole responsibility for obtaining consent to upload content depicting another family's child rests with the uploading account holder. Sole responsibility for verifying that all group members are legitimate parents or guardians of athletes within the organization rests with the Team/Organization Administrator.
COPPA Compliance for Team/Organization-Shared Content: Team/organization-shared content depicting children under 13 is governed by the same COPPA protections described in this Section 2B. Such content is never used for advertising, marketing, or any commercial purpose. It is stored securely and accessible only to team/organization members who have been verified by the Team/Organization Administrator as described in Section 2D.
Opt-Out: Participation in Team/Organization Sharing is voluntary. Any account holder may opt out at any time through their account settings or by contacting support@rookie2recruit.com. Upon opting out, the account holder's content will no longer be visible to other team/organization members, and other team/organization members' content will no longer be visible to that account holder. Opting out does not affect any other account features or the account holder's individual content.
Company Not Responsible for Third-Party Use: The Company is not responsible for how authorized team/organization members use, download, screenshot, or otherwise handle content within or outside the platform. Account holders are advised to exercise care when uploading content that depicts other families' children.
2C. Depicted Minors — Children Photographed by Other Account Holders
A unique and significant privacy consideration arises within the Team/Organization Sharing feature when a photo or video uploaded by one account holder depicts a child who is the minor dependent of a different account holder — or of a family not registered on the platform at all. That child's image, likeness, and any associated personal data constitutes personal information about a minor who has not directly consented and whose parent or guardian may not have been given an explicit opportunity to consent through our platform. We refer to such children as "Depicted Minors" throughout this section.
Because our platform is purpose-built for youth athletic families and is specifically designed to store and share content involving children — including children under 13 — we treat the privacy of Depicted Minors with the same heightened care required under COPPA for our account holders' own children. The uploading account holder's consent representation is the mechanism by which the Company satisfies its COPPA obligations with respect to a Depicted Minor's data. Account holders who upload such content therefore bear full regulatory and civil responsibility for ensuring that consent exists.
Uploader Obligations Regarding Depicted Minors
By uploading content to the Team/Organization Sharing space that depicts a Depicted Minor, you represent, warrant, and agree that:
• You have obtained express consent from the parent or guardian of each Depicted Minor prior to uploading such content to the shared space, and you understand that the Team/Organization Administrator's verification of group membership does not constitute or substitute for your obligation to obtain consent from the parent or guardian of each Depicted Minor before uploading;
• You understand that the image, likeness, and any associated data of a Depicted Minor under 13 constitutes personal information governed by COPPA, and that your consent representation is the mechanism by which the Company satisfies its COPPA obligations with respect to that child's data;
• You will not upload content depicting a Depicted Minor if you have any reason to believe the parent or guardian of that minor would object; and
• You accept full and exclusive liability for any claims, damages, or regulatory consequences — including FTC enforcement actions — arising from your failure to obtain appropriate consent from the parent or guardian of any Depicted Minor, and you agree to indemnify and hold harmless the Company for all such claims.
Rights of Depicted Minors' Parents and Guardians
The parent or guardian of any Depicted Minor has the following rights with respect to their child's content on our platform, regardless of whether they are a registered account holder:
Right to Request Removal: Any parent or guardian who believes content depicting their child has been uploaded to our platform without appropriate consent may request removal by contacting support@rookie2recruit.com. We will process valid, verified requests within five (5) business days. Requests should include sufficient identifying information to locate the content.
Right to Access: The parent or guardian of a Depicted Minor may request information about what content depicting their child is stored on our platform by contacting support@rookie2recruit.com. We will respond within five (5) business days.
Limitation of Removal Right: We can remove content from our platform upon a valid request. We cannot recover, delete, or control content that has already been downloaded, captured, or shared outside our platform prior to our receipt of the removal request. The Company bears no liability for off-platform distribution of content by any team/organization member.
Viewer Obligations Regarding Depicted Minors
Account holders who access Team/Organization Sharing content depicting Depicted Minors are not merely passive viewers — they assume affirmative obligations with respect to that content. By accessing such content, each viewer agrees that:
• Their access to content depicting another family's child is strictly for the purpose of viewing shared athletic memories within the closed team/organization group, and for no other purpose;
• They will not download, screenshot, screen-record, copy, or otherwise capture content depicting a Depicted Minor without the express consent of that minor's parent or guardian; and
• They will not share, distribute, transmit, post, or otherwise disseminate content depicting a Depicted Minor outside the platform or to any person who is not a member verified by the Team/Organization Administrator of their registered team/organization group, without the express consent of that minor's parent or guardian.
Notification Feature
My Instant Replay's Team/Organization Sharing feature includes a notification system that alerts a registered member of the same team/organization group when new content is added and their child is tagged to the shared space. This notification serves as an awareness mechanism, not a consent verification system. Parents or guardians who believe content has been uploaded without appropriate consent for their child should contact us immediately at support@rookie2recruit.com regardless of whether they received a platform notification.
2D. Team/Organization Administrator — Role, Verification Authority, and Liability
Each team or organization that activates the Team/Organization Sharing feature on My Instant Replay must designate at least one individual as a Team/Organization Administrator (the "Administrator"). The Administrator is a parent, guardian, coach, league official, or other organization representative designated by and accountable to the team or organization — not an employee, agent, or representative of Rookie 2 Recruit, LLC. The Administrator role carries specific verification responsibilities and binding legal obligations that exist independently of and in addition to the Administrator's obligations as an individual account holder.
Administrator Verification Responsibilities
The Administrator is solely and exclusively responsible for verifying the identity and eligibility of every person admitted to the team/organization group on the platform. This verification responsibility is not shared with, delegated to, or assumed by Rookie 2 Recruit, LLC in any respect. Specifically, the Administrator is responsible for:
• Confirming, before granting platform access, that each person seeking to join the team/organization group is a legitimate parent or legal guardian of an athlete who is an active, rostered member of the team or organization;
• Promptly removing any member from the group within five (5) days of that person's child leaving the team or organization for any reason, including the end of a season, voluntary departure, dismissal, or transfer, or immediately when the Administrator has any reason to believe the person is not a legitimate parent or guardian;
• Maintaining current and accurate group membership at all times throughout the season and any period during which the Team/Organization Sharing feature is active; and
• Immediately notifying Rookie 2 Recruit, LLC at support@rookie2recruit.com if the Administrator becomes aware that any person has gained access to the group who is not a legitimate parent or guardian of an active team or organization member.
The Company's Role Is Limited to Platform Operation
Rookie 2 Recruit, LLC provides the technical platform through which the Administrator performs their verification and management functions. The Company does not independently verify, audit, confirm, or take responsibility for any verification decision made by an Administrator. The Company does not know, and has no obligation to determine, whether any particular person admitted to a group by an Administrator is in fact the legitimate parent or guardian of an athlete on the team. The Company's sole role in the Team/Organization Sharing feature is to operate the platform through which verified members interact. All trust, verification, and gatekeeping functions rest entirely with the Administrator.
Administrator Liability and Indemnification
By accepting the Administrator role, the Administrator agrees that they are the last line of defense between the families in their group and any potential misuse of their children's images on the platform. The Administrator accepts full, sole, and exclusive liability for:
• Any harm, claim, loss, or damage arising from their admission of any person to the group who is not a legitimate parent or guardian of an active team or organization member;
• Any privacy violation, COPPA enforcement action, or regulatory consequence arising from improperly verified group membership;
• Any failure to remove a member in a timely manner after that person's child has left the organization, resulting in that person retaining access to content depicting current members' children; and
• Any claims brought by any team/organization member or any parent or guardian of a Depicted Minor arising from the Administrator's improper verification, failure to verify, or failure to maintain accurate group membership.
The Administrator agrees to defend, indemnify, and hold harmless Rookie 2 Recruit, LLC and its members, managers, officers, employees, and agents from and against any and all claims, damages, losses, liabilities, costs, and expenses — including reasonable attorneys' fees — arising out of or in connection with any of the above. This indemnification obligation is in addition to, and does not replace or limit, any indemnification obligation the Administrator has as an individual account holder under the Terms of Service.
No Warranty as to Administrator Performance
The Company makes no representation or warranty that any Administrator will perform their verification responsibilities correctly, thoroughly, or at all. The Company's provision of Administrator tools does not create any duty on the Company's part to monitor, audit, or supervise Administrator performance. Account holders who participate in Team/Organization Sharing do so with full knowledge that member verification is the responsibility of the Administrator — a fellow community member — and not of the Company.
2E. Minor Users Ages 13–17 — Data Practices
A parent or legal guardian's creation and use of an account constitutes verifiable consent for the collection, use, and processing of any minor's personal information as described in this Privacy Policy. We collect and use minor user data solely to provide the Services and do not use it for advertising, marketing, or commercial purposes without express written parental consent. For parental authorization requirements and liability terms, see Section 2A of our Terms of Service.
3. Information We Collect
3A. My Instant Replay
Account & Family Information
• Parent or guardian name, email address, and login credentials
• Athlete name, age, sport(s), and team affiliations
• Family Profile viewer connections (e.g., grandparents or relatives granted access)
• Subscription plan and billing information (processed by PCI-DSS-compliant third-party providers; we do not store raw card data)
Athletic Memory & Milestone Content
• Photos and videos of game footage, highlights, team photos, and personal milestones
• Athletic statistics, performance records, awards, and achievements
• Captions, notes, and other user-generated content associated with uploaded media
Note: This content may include images and data relating to child athletes under 13. All such content is uploaded and managed exclusively by the parent or guardian account holder. See Section 2B for full details.
Usage Data
• IP address, device type, operating system, and browser information
• Pages visited, features used, and session duration
• Referring website and log data
3B. Rookie 2 Recruit
Account Information
• Name, email address, and login credentials
• Role (student-athlete, parent, or coach)
• Subscription plan and billing information
Athlete & Recruiting Data
• Academic records, GPA, test scores, graduation year, and intended field of study
• Athletic performance information, sport, position, and statistics
• College and program preferences for generating personalized recommendations
• Engagement records for expert reports, podcast content, and live Q&A sessions
Note: Athlete data is processed through automated systems to generate personalized college and program recommendations.
3C. Combine Events
When you participate in a Rookie 2 Recruit, LLC-hosted Combine event, we collect:
• Participant name, age, sport, and contact information provided during registration
• Official Combine-measured athletic performance data (speed, agility, and other combine metrics)
• School or organization affiliation
• Consent for a 30-day complimentary platform trial membership
All Combine registrations must be completed by a person who is at least 18 years of age. Parents and guardians may register on behalf of their child athletes. Combine performance data will be stored within a My Instant Replay account or stored within a Rookie 2 Recruit profile. By participating in the Combine you agree to have this performance data stored on one of our digital platforms.
3D. Cookies & Tracking Technologies
We use cookies, pixels, and web beacons across both platforms, categorized as:
• Essential Cookies: Required for platform functionality; cannot be disabled without impairing service.
• Analytics Cookies: Used to measure performance and improve user experience (e.g., Google Analytics). Opt out via browser settings or our cookie preference center.
• Marketing Cookies: Used for personalized communications. Require consent; may be withdrawn at any time.
Do Not Track (DNT): Our platforms do not currently respond to browser DNT signals. Manage tracking preferences through browser settings or our cookie preference center.
4. How We Use Your Information
We use collected information to:
• Provide, operate, maintain, and improve both platforms and all associated services
• Deliver and personalize your experience, including milestone tracking on My Instant Replay and college program recommendations on Rookie 2 Recruit
• Support Family Profile sharing and connectivity on My Instant Replay
• Process payments and manage subscriptions, including Combine trial memberships
• Deliver expert reports, podcast access, and live Q&A sessions on Rookie 2 Recruit
• Send service updates, account notices, and support communications
• Detect and prevent fraud, security incidents, and technical issues
• Send marketing and promotional communications, with your consent (opt out at any time)
• Support cross-platform transitions, such as transitioning a My Instant Replay athlete profile into a Rookie 2 Recruit recruiting profile, with your consent
• Conduct internal research and generate analytics using aggregated or anonymized data
We will never use images, videos, or personal data relating to children under 13 for advertising, marketing, or commercial purposes of any kind.
5. Sharing of Information
We do not sell your personal information. We share information only as described below.
5A. Service Providers
We work with trusted third-party providers contractually bound to maintain confidentiality and use data only on our behalf, including:
• Payment processors (e.g., Stripe, PayPal) — PCI-DSS compliant; we do not store raw card data
• Cloud hosting and data storage providers
• Email and marketing communication platforms
• Analytics and performance tracking tools (e.g., Google Analytics)
• Video and media storage providers
5B. Combine & Event Partners
In connection with Combine events, we may share information with:
Combine Partner: Athletic performance data collected at Combine events is shared with our performance technology partner. Their data practices are governed by their own privacy policy.
Hosting Organizations: Participant's individual athlete data is shared with the hosting organization of the Combine including their coaching staff.
Affiliate Partners: Participant's individual athlete data is visible to the Affiliate Partner who is running the Combine.
5C. Family Profile Sharing
Account holders on My Instant Replay may invite family members to view an athlete's profile. By adding a viewer, you acknowledge that viewer will access the entire content on the athlete's profile. Account holders are solely responsible for managing viewer access. We are not responsible for how authorized viewers use content outside our platform.
5D. Cross-Platform Data
Data may be used across both platforms to enhance your experience, such as transitioning My Instant Replay athlete content into a Rookie 2 Recruit recruiting profile as an athlete matures, with explicit consent. You may opt out of cross-platform data use at any time by contacting support@rookie2recruit.com.
5E. Legal Requirements
We may disclose information when required by applicable law, court order, valid legal process, or to protect the rights, property, or safety of our users or the public.
5F. Business Transfers
In connection with a merger, acquisition, reorganization, or sale of assets, personal information may transfer as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.
6. Athlete Profile Access & Visibility — Rookie 2 Recruit
The Rookie 2 Recruit platform is purpose-built to connect student-athletes with college and university programs. The athlete's account details and athlete profile are not solely visible to the athlete. Depending on role and authorization level, the following parties may access the athlete's profile and account information:
6A. Authorized Profile Viewers
The Athlete: The student-athlete has full access to their own profile and account details at all times.
Parents or Guardians: Parents or legal guardians associated with the athlete's account have full access to the athlete's profile and account details.
High School Coach: The athlete's current high school coach, upon verification and authorization through the platform, may access the athlete's full profile. The high school coach may also view and add notes to the athlete's profile to provide additional recruiting context. Notes added by a coach are visible to all authorized profile viewers, including any college or university coaches with whom the profile has been shared.
Club or Organization Coach: The athlete's club or organization coach, upon verification and authorization through the platform, may access the athlete's full profile. The club or organization coach may also view and add notes to the athlete's profile. Notes added by a coach are visible to all authorized profile viewers, including any college or university coaches with whom the profile has been shared.
College or University Coaches and Staff: When an athlete or their parent or guardian chooses to share the athlete's profile with a college or university program, the designated coaching staff and relevant athletic department personnel at that institution may access the athlete's full profile. This includes, but is not limited to, academic records, GPA, test scores, athletic statistics, performance data, video highlights, Combine results, coach notes, and any other information contained within the profile. The goal of the Rookie 2 Recruit athlete profile is to provide college coaches and their staff with complete and comprehensive information — academic, athletic, and personal — necessary to evaluate the athlete and make an informed recruiting decision about whether to pursue or pass on the athlete. Profile sharing with a college or university program is controlled entirely by the athlete or their parent or guardian.
6B. Coach Notes
Authorized coaches — including the athlete's current high school coach and club or organization coach — may view the athlete's full profile and add notes directly to the profile. These notes may include performance observations, character assessments, coachability ratings, and any other information the coach deems relevant to the athlete's recruiting profile. Coach notes are part of the athlete's profile record and are visible to all authorized parties listed in Section 6A, including any college or university coaches with whom the profile has been shared. The athlete and their parent or guardian acknowledge that coach notes are a feature of the platform and consent to their inclusion as part of the athlete's recruiting profile.
6C. Athlete and Parent Control
The athlete and their parent or guardian retain control over which college or university programs receive access to the athlete's profile. Sharing with a college or university program does not create an obligation on the part of the program to contact, recruit, or offer any opportunity to the athlete. The Company is not responsible for how college or university coaches or staff use information accessed through the platform. For the Company's disclaimer regarding recruiting outcomes, see Section 10 of our Terms of Service.
7. Photo, Video & Media Content
Special Notice: My Instant Replay stores photos and videos that will include images of child athletes, including children under 13. This content is managed exclusively by the parent or guardian account holder and is treated with heightened care and protection.
All media content on My Instant Replay is:
• Stored securely using industry-standard encryption
• Accessible only to the account holder and explicitly authorized Family Profile viewers
• Never sold, licensed, or used for advertising or commercial purposes without express written consent
• Never shared with any third party beyond those necessary to operate and secure the platform
Account holders are responsible for obtaining appropriate consent from others before uploading images or videos featuring other people's children. Upon account deletion or a data removal request, all associated media content will be permanently deleted within 30 days, except where retention is legally required.
8. Data Retention
We retain personal information only as long as necessary to provide services, meet legal obligations, resolve disputes, and enforce our agreements. Retention does not generally exceed seven (7) years unless required by law. For My Instant Replay, media and milestone records are retained while the account is active and deleted within 30 days of account closure or a confirmed deletion request. Contact support@rookie2recruit.com to request deletion.
Combine Event Participant Data. Combine performance data and limited profile information collected in connection with a Rookie 2 Recruit, LLC Combine event are retained for twelve (12) months from the date of the participant's Combine event, regardless of whether a paid subscription is purchased. Upon expiration of the twelve-month period, all Combine performance data and limited profile information will be permanently and irreversibly deleted from the platform without notice. Participants who wish to retain their Combine data beyond twelve months must activate a paid subscription prior to expiration. The Company is not responsible for recovering or restoring Combine data after the twelve-month retention period has elapsed.
9. Data Security
We implement commercially reasonable administrative, technical, and physical safeguards, including:
• Encryption of data in transit and at rest
• PCI-DSS-compliant payment processing; we do not store raw card data
• Access to personal information restricted on a need-to-know basis
• Regular security assessments and platform monitoring
No electronic system is completely secure and we cannot guarantee absolute security. In the event of a data breach materially affecting your personal information, we will notify you as required by applicable law, generally within 72 hours of discovery. Report suspected security vulnerabilities to support@rookie2recruit.com immediately.
10. Your Privacy Rights
Subject to applicable law, you — or a parent or guardian with respect to content about their child on My Instant Replay — have the following rights:
• Access: Request a copy of personal information we hold about you or your child athlete.
• Correction: Request correction of inaccurate or incomplete information.
• Deletion: Request deletion of your personal information or your child's content, subject to legal retention obligations.
• Portability: Request your data in a structured, machine-readable format (e.g., CSV or JSON).
• Opt-Out of Marketing: Unsubscribe from promotional communications via any email's unsubscribe link or by contacting us.
• Withdraw Consent: Where processing is based on consent, withdraw it at any time without affecting prior lawful processing.
• Opt-Out of Cross-Platform Data Use: Request that your data not be shared between our two platforms.

We will respond to verifiable requests within 30 calendar days, and may extend this by an additional 30 days with notice. Identity verification may be required before fulfilling any request.
If you believe your privacy rights have been violated, you may lodge a complaint with the relevant regulatory authority in your jurisdiction, such as the Federal Trade Commission (FTC) or your state's Attorney General.
11. State-Specific Privacy Rights
California Residents (CCPA/CPRA)
California residents have the right to know what personal information we collect and how we use it, request deletion, opt out of sale or sharing (we do not sell personal information), limit use of sensitive personal information including data relating to minors, and be free from discrimination for exercising these rights.
Other U.S. State Residents
Residents of Virginia, Colorado, Connecticut, Texas, and other states with comprehensive privacy laws may have similar rights including access, correction, deletion, portability, and the right to opt out of certain processing. Contact support@rookie2recruit.com to exercise these rights.
12. International Users
Our platforms are operated in the United States and are intended for U.S.-based users only. If you access our platforms from outside the U.S., your information may be transferred to, stored, and processed in the U.S., where data protection laws may differ from those in your country. By using our platforms, you consent to such transfer and processing. Contact support@rookie2recruit.com for information about international data transfer practices.
13. Liability & Dispute Resolution
All liability limitations, indemnification obligations, the mandatory arbitration agreement, and dispute resolution procedures that apply to privacy-related claims are governed by our Terms of Service, which is incorporated into this Privacy Policy by reference.
